Troubleshooting & Support
What should I do on the first day, when the scanner arrives?
Install the NeoSpectra Scan app (iOS or Android) and sign in. Press the power button until the scanner screen lights up, then press Connect in the app and select your scanner. Attach the powder dish holder to the sample stage, place the calibration tile face down inside a clean sample cup and press Calibrate in the app; calibration takes 8 seconds. Then prepare your first sample following the SOP for Sample Preparation and press Scan.
How do I get the Valenveras models on my scanner?
The Home tab of the NeoSpectra Scan app lists the models available to your account: Cannabis Analysis, Express, Plant Tissue and Solids Extracts. Access to the four models comes with your annual subscription. If a model you expect is missing, write to support@valenveras.com, which handles support and activations.
What if the scanner does not turn on?
The scanner runs on two rechargeable 18650 batteries (3,400 mAh nominal), installed on delivery and user replaceable; the battery cover on the base is held by four screws. Connect the supplied 15 V / 2.4 A USB-C adapter: it powers the scanner so it can charge and scan at the same time, whatever the battery status. Then press the power button. If it still does not respond, write to support@valenveras.com with the serial number.
How do I clean the scanner?
Clean the optical window with the alcohol wipes and the microfiber cloth supplied, and use the combined brush and squeegee to remove particles from the scanner head between samples. When the supplied wipes run out, use any non-abrasive, high-grade isopropyl alcohol wipe. Put the magnetic cover on the scanner whenever it is not in use.
Why are my readings inconsistent?
Check the sample preparation against the SOP. Grind at least 3 g of dried flower to the smallest possible particle size, pass it through a 1 mm sieve and discard the larger particles. Clean the glass surface of the sample cup with alcohol, calibrate, then fill the cup so the material covers the entire surface and press it with the sample weight. Clean the grinder between samples and handle samples with gloves to prevent contamination.
What if the calibration fails?
Make sure the calibration tile is clean and untouched, placed face down inside a clean sample cup on the scanner, and press Calibrate again. If the scanner shows an error, note the code: a thermal error, for example, means the scanner is hot and needs to cool down before you continue. If the error persists, write to support@valenveras.com with the code and the serial number.
What should I check if a scan fails?
The sample must stay in contact with the scanner window during the whole measurement. Make sure the material covers the entire surface of the sample cup, that the sample weight is on top, and that the scanner has a current calibration. The scanner screen also shows the remaining battery and whether the charger is connected.
What should I do if Bluetooth disconnects?
When it is switched on, the scanner stays in “Ready to connect” for two minutes; if no connection is made, it moves to “Disconnected”. A short press of the power button returns it to “Ready to connect”. Then press Connect in the app and select your scanner; if you cannot find it, double-press the power button. A long press switches the scanner off.
How do I update the firmware?
From the app. Charge the scanner to 100 % with the charger connected, open the NeoSpectra Scan app with your phone connected to the internet, press the gear button in the Home tab and choose Scanner Firmware, then Firmware Update. The app searches for updates; when the update is complete, the scanner turns off automatically and the app disconnects. The same menu offers Restore Default Firmware.
How do I know a scan was saved?
All results are saved on your mobile device and in your NeoSpectra Cloud Portal. When the scanner is used without an app connection, it stores the spectra in its local memory, up to 999, and synchronizes them later; the number on the scanner screen shows how many spectra are stored.
How do I get replacement sample cups or accessories?
The Powder Analysis Kit includes three sample cups, a holder, a sample weight and its own calibration tile. For replacement cups, other accessories or instrument service, write to support@valenveras.com.
How do I request technical support?
Write to support@valenveras.com for sample setup, model subscriptions, activations or instrument service. Include your scanner’s serial number and any error code shown on the screen. For sales questions and quotes, write to info@valenveras.com.
Sample Preparation
Which sample types can I analyze?
The SOP for Sample Preparation covers four routines: natural dry flowers, natural fresh flowers, natural fresh leaves, and extracts and hash. Flowers and leaves are analyzed dried and ground, in the Powder Analysis Kit. In the app, select the model that matches the material you are about to analyze.
What do I need to prepare samples?
The scanner comes with a carrying case, brush and scraper, microfiber cloth, alcohol wipes, lanyard, protective cap with calibration tile, and charger. The Powder Analysis Kit adds its own calibration tile, a holder, three sample cups and a sample weight. You provide an oven or air fryer, a grinder, a 1 mm sieve, gloves and isopropyl alcohol.
Is there a minimum sample amount?
Yes. The SOP asks for a minimum of 3 g of dried flower and 1 g of dried leaves, ground. Whatever the sample, the material must cover the entire surface of the sample cup and be pressed with the sample weight.
Do I need gloves for sampling?
Yes. The SOP asks you to handle every sample with gloves to prevent contamination.
Can I analyze fresh samples?
Not directly. Fresh flowers and fresh leaves are dried first, in an oven or air fryer at 140 °F (60 °C): about 24 hours for flowers and 2 hours for leaves, or until their weight remains stable. They are then ground and scanned like dry material.
How should fresh flowers be prepared?
Collect samples that represent the batch, handling them with gloves. Trim the cannabis as it will appear in the final product, so the sample reflects the real final flower. Dry it at 140 °F (60 °C) for 24 hours, or until its weight remains stable, then grind it, calibrate and scan.
How should samples be ground and sieved?
Grind the dried sample until the smallest possible particle size is achieved, then pass it through a sieve, for example a 1 mm mesh, to get a uniform particle size. Discard the larger particles that do not pass through. Clean the grinder between samples to prevent cross-contamination.
Can I scan whole flowers?
No. Flowers are always analyzed dried and ground, in the Powder Analysis Kit.
How do I calibrate the scanner?
Turn the scanner on and place the sample cup in its holder. Remove the lid of the white calibration tile, place the tile inside the cup facing down and press Calibrate in the app. Calibration takes 8 seconds. Keep the tile clean at all times, never touch the white surface and always cover it again with its lid.
How do I clean the sample cup and grinder between samples?
Clean the glass surface of the sample cup with alcohol before each sample. Clean the grinder between samples to prevent cross-contamination, and remove particles from the scanner head with the brush.
How are solid extracts and hash prepared?
Collect the sample with gloves and place it in the sample cup. Make sure it covers the entire surface of the cup and press it with the sample weight for a uniform surface, then calibrate and follow the prompts in the app. Solids Extracts is one of the four Valenveras models.
